10.1 Anatomy of a Business Letter
A formal letter has fixed parts in a fixed order. Examiners award marks for format before they read a word of content.
- Sender's address (top; no name in traditional format)
- Date (15 March 2025 — unambiguous form)
- Receiver's designation and address
- Subject line (one line stating the purpose)
- Salutation (Dear Sir/Madam, or Dear Mr Rao,)
- Body (opening → details → action requested)
- Complimentary close (Yours faithfully — with Dear Sir/Madam; Yours sincerely — with a named person)
- Signature block (signature, full name, designation if any)
10.2 Layout Styles

10.3 Tone: The "You Attitude"
Formal does not mean cold. The you attitude frames content around the reader's interest.
Writer-centred: "We require you to submit the form by Friday so that we can process our records." Reader-centred: "Submitting the form by Friday will ensure your certificate reaches you before the placement season."
Pair it with courteous directness: state the request plainly, give reasons, avoid grovelling ("I beg to state") and bluster ("You have failed to...").
10.4 Sample 1: Job Application (Cover Letter)

As my enclosed resume details, I built my final-year project — an inventory system used by our college store — in Java with a MySQL backend, and led a three-member team that delivered it two weeks ahead of schedule. Annotations: Paragraph 1 names the post, source, and date (never make HR guess). Paragraph 2 mirrors the advertisement's requirements and proves each with evidence — this is the letter's logos. Paragraph 3 requests action and removes friction (availability, joining date). The full-block format, subject line, and error-free prose are the ethos.
10.5 Sample 2: Complaint Letter
22, Rose Apartments, Dwarka, New Delhi 110075 3 April 2025 The Customer Service Manager, BrightVolt Electronics, Karol Bagh, New Delhi 110005 Subject: Defective inverter (Model BV-900, Invoice No. 4521 dated 20 March 2025) Dear Sir/Madam, I purchased a BrightVolt BV-900 inverter from your Karol Bagh showroom on 20 March 2025 (invoice enclosed). Within ten days, the unit has twice failed to switch over during power cuts, on 28 March and 1 April, despite installation by your authorised technician. Under the one-year replacement warranty, I request a replacement unit or a full refund within seven working days. I have already logged complaint No. C-8834 on your helpline on 1 April, with no response so far. I trust the matter will be resolved promptly. Annotations: Facts before feelings — model number, invoice, dates, prior complaint number. The remedy is specific and deadline-bound. The escalation warning is firm but courteous: no insults, no exclamation marks. Firmness with restraint is the register examiners reward.
10.6 The Inquiry Letter
Structure: (1) identify yourself and how you learned of the addressee; (2) state precisely what information you need — numbered questions help; (3) mention any deadline and thank the reader. Example core: "I shall be grateful if you could send me the fee structure, hostel availability, and last date of application for the MCA programme, preferably before 30 June."
10.7 Formal Email Notes
Same skeleton, adjusted furniture: a precise subject line ("Request for bonafide certificate — Roll No. 2214") replaces the address block; salutation and close remain; keep paragraphs short; no SMS abbreviations; proofread before sending — an email's errors are its permanent record.
